Packfox Service Description
Version 1.5, dated 8 September 2026.
This is the Service Description referred to in the Packfox client engagement terms (version 1.4, dated 1 September 2026, published at https://packfox.co.uk/client-terms/). It forms part of those terms. The version current on your start date applies, as varied from time to time under clause 11 of the terms (we give at least 30 days' notice of any change that reduces what is included); we keep every version and will supply the one you joined under at any time on request. What Packfox does
Done-for-you channel protection for UK brands selling on Amazon. Software watches your listings around the clock; a named analyst (the owner of the business, who is also your point of contact) works out what each change actually means for your brand and hands you the response, drafted and ready to send. You stay in control of your account, your prices and your seller relationships; we take the watching, judgement and paperwork off your desk.
How the work is done
Software gathers the marketplace and account data and runs the checks. Current AI models help draft the reports and drafts you read; a person reviews them and stays accountable for every word. Every number in a report traces to data captured on a stated date, and a figure that cannot be traced is not published. Calculated figures, such as a typical selling price or a category average, are labelled as such and dated. Marketplace data is captured on the stated date and can lag the live Amazon page; account signals come from your connected account at least once a day, plus Amazon's own event notifications where your account is subscribed to them.
What is included
- Continuous monitoring of every listing you give us. Sellers, landed prices (item plus delivery, the price the buy box is actually decided on), buy box, content, search suppression, rank and rating. Marketplace signals are checked every hour; account signals such as suppression are checked every day through your connected account. The automation runs in the cloud whether anyone is at a desk or not.
- Automated same-day alerts for serious events. A hijack, a suppressed listing, an account-health change: raised by the system itself rather than held for the weekly report. Price and buy-box events can reach you within minutes once your account is connected. You choose how much reaches you between reports.
- A weekly report in plain English. What changed, what it means, what to do next. Every listing gets a weekly state line: sellers, buy-box holder, lowest landed price, rating, sales rank, and Amazon's own bought-in-the-past-month figure. Every number traces to marketplace data captured on a stated date; the system refuses to publish a number it cannot trace. A quiet week is reported as a quiet week, with the checked state set out.
- A ready-to-send draft for every recommended action. A seller message, a Brand Registry report, an appeal, a distributor query, a listing correction (naming the exact place in Seller Central to fix it). The system prepares the draft the same day the event is raised; a person reviews it before it is handed to you; you approve and send. Nothing goes out in your name without you. No draft ever raises price with a seller; a price problem routes to your distribution channel instead.
- Channel intelligence. New-seller history, price-erosion patterns, and where a supply leak most likely sits. A cluster of new sellers arriving together can point to one upstream leak; we correlate the timing so you can match it to a shipment or promotion. For sellers you do not recognise we can check the scale of their wider storefront, and where a seller hides behind a storefront name, we name the UK limited company behind it where the public register allows it.
- Evidence you can act on. When your listing content changes you get a dated record of exactly what it said before and after, ready to use as evidence. After you act, the next monitoring pass checks whether the fix landed, and the weekly report says so either way.
- A standing seller dossier. Every seller we have discussed with you, kept current in the weekly report: what they list, what they charge, what you decided, and what has happened since.
- Nothing is asked twice. Your decisions about each seller are remembered and carried forward, and any storefront whose name resembles your brand is flagged as a lookalike each time one appears, new name or not.
- Departure prices, receipted. When a seller drops out of our checks, the report shows the before and after prices on those listings, against the data captured on those dates.
- Six account-health metrics watched together once your account is connected (order defect, late shipment, valid tracking, pre-fulfilment cancellation, on-time delivery, invoice defect), each raised with its own fix route when Amazon marks it at risk. Stranded stock is raised the same day it is seen.
- Fee rises at an unchanged price get flagged once your account is connected: for each listing where you have given us a price floor, we ask Amazon for its fee estimate at that same price every day, and if the estimate moves up by more than a small margin you hear about it.
- A story report, roughly every four weeks. The running record of your whole time with us: every listing's history chapter by chapter, the changes recorded month by month (quiet months shown as quiet), the routes you chose for each seller and what happened after, and how many of the serious changes were flagged to you on the day they were observed.
- Onboarding that walks you through switching on the free Amazon protections that are easy to miss, including a Brand Registry check (you click the toggles in your own Seller Central; we never change your account), and captures your authorised-seller list and price floors so alerts are judged against your rules.
- Your own client portal. Sign in with your email, no password to manage. It holds your story page, the archive of every weekly report we have sent you, plain-English walkthroughs of Amazon's brand programmes (Transparency, brand approval requirements, A+ and catalogue controls, Project Zero) with one tick to tell us which you want help thinking through, and your setup steps (terms, Amazon connection, Direct Debit).
What we need from you (about 20 minutes)
- 1. Your hero products (or we take the whole catalogue, up to 50 active listings).
- 2. Your authorised-seller list and any price floors. This is what "unrecognised" and "below floor" are measured against.
- 3. One click on a secure Amazon authorisation link. This gives Packfox read access through Amazon's official Selling Partner API to non-personal product and performance data: your listings, offers and pricing, account-health and listing-status signals, and aggregated sales, stock and fee reports. We use it only to judge changes against your rules and to write your alerts and reports. We never ask for your password, we never change your listings, prices or settings (the only thing we create is the notification subscription that lets Amazon send us alerts about your listings), we do not read your customers' personal data, and you can revoke the access in Seller Central at any time.
- 4. A Direct Debit mandate, set up on Stripe's secure payment pages (protected by the Direct Debit Guarantee; your bank details go to Stripe and are not seen by us).
The honest boundaries
- The fact that you never authorised a seller is not, on its own, grounds for removal on Amazon UK. The levers that genuinely work are tracing the supply leak, grounds that stick (intellectual property, material difference, condition), and winning the buy box back. That is what we run.
- We never pressure resellers on price. In the UK that is resale price maintenance, which is unlawful. We monitor price erosion and help you fix the distribution causes instead.
- We state facts about sellers and make no accusations. We flag sellers you have not recognised and show what the data says they are doing. We cannot and do not judge stock authenticity from the outside.
- We are not a law firm. Where a situation needs legal advice we say so and prepare the evidence pack for your solicitor. Nothing we send is legal advice.
- Cadence, honestly stated. Automated monitoring and alerts are continuous; the human layer works to a weekly reporting rhythm, with urgent events handled as they arise. We do not sell same-hour human response times.
Price and terms shape
- From £199 a month, covering your whole catalogue up to 50 active listings (larger catalogues by quote). No VAT is added; Packfox is not VAT registered.
- Monthly rolling, cancel any month, no setup fee, no contract lock-in.
- Founding rate: £99.50 a month for the first 10 client brands, locked for as long as the subscription stays active without interruption. Standard rate £199.

Versions
- 1.5, 8 September 2026: one wording precision in "Departure prices, receipted": a seller's departure is described as what our checks saw ("drops out of our checks", "those listings") rather than as the state of the listing, matching the wording of the reports since 3 September 2026.
